Calgary Wild FC ("we", "us", "our") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you visit club.calgarywildfc.com and www.calgarywildfc.com (collectively, the "Website"), communicate with us, submit a form, register for a program, or sign up to receive updates from us.

This Privacy Policy is intended to help you understand what information we collect, why we collect it, how we use and share it, and the choices available to you.

The personal information we collect depends on how you interact with us and which Website features, forms, services, or programs you use.

A. INFORMATION YOU PROVIDE DIRECTLY

You may provide us with information such as:

  • company, media outlet, group, or organization information
  • event, match, ticket, suite, activation, accreditation, appearance, community, or service preferences and request details
  • the subject and content of inquiries, messages, notes, or other communications you send us
  • newsletter, SMS, media, cookie, and program communication choices and consent records
  • any other information you choose to provide through a Website form or communication

For designated youth programs, a parent or guardian may also provide information about a participant, including their name, date of birth, age group, gender, soccer experience and club affiliation, session selections, accommodation or medical information, learning goals, emergency contacts, program history, media choice, and other registration confirmations.

B. INFORMATION COLLECTED AUTOMATICALLY

When you use the Website, we or our service providers may automatically collect certain technical and usage information, such as:

  • IP address and approximate geographic region
  • browser type and version
  • device type and operating system
  • referring pages or campaign information
  • pages and full page URLs visited, including query parameters
  • date, time, duration, and frequency of visits
  • interactions with Website content and features
  • security and form-verification information

This information may be collected through cookies, local storage, tags, and similar technologies, subject to your consent where required by law.

3. HOW WE USE INFORMATION

We may use personal information to:

  • operate, maintain, secure, and improve the Website
  • respond to inquiries and communicate with you
  • provide information, services, or follow-up you request
  • administer ticket, suite, group, event, accreditation, activation, appearance, community, and other requests
  • register participants, manage eligibility, prevent duplicate registrations, administer capacity, and operate youth programs
  • support participant safety, emergency communication, accommodations, and program delivery
  • send confirmations and service-related communications
  • send newsletters, SMS messages, or marketing communications you have requested or consented to receive
  • understand Website traffic, campaigns, and user behaviour
  • maintain consent, preference, communication, and business records
  • detect and prevent spam, misuse, fraud, or security incidents
  • comply with legal obligations and enforce our legal rights

4. COOKIES AND SIMILAR TECHNOLOGIES

We use cookies, local storage, tags, and similar technologies to operate and secure the Website, remember consent preferences, understand how visitors use the Website, and, where applicable, support campaign measurement and advertising activities.

We use Google Tag Manager to manage certain Website tags and integrations. Google Tag Manager currently loads only after analytics has been enabled through our cookie settings. The services loaded through it depend on our current tag configuration.

We use Google Ad Manager to serve advertising where ad placements are included on the Website. Google Ad Manager is activated only after you enable marketing through our cookie settings.

Where required by applicable law, we ask for your consent before activating optional analytics or marketing technologies. You can manage your preferences through our cookie banner or the cookie settings controls on the Website.

5. GOOGLE ANALYTICS AND THE NORTHERN SUPER LEAGUE

We use Google Analytics to understand how visitors use the Website. Google Analytics may collect page views, full page URLs, approximate location, device and browser information, referral information, session activity, and interactions with Website content.

The Google Analytics property used by the Website is managed by the Northern Super League ("NSL"). As a result, analytics information about visits to the Website may be accessible to and used by the NSL for audience measurement, reporting, and service improvement.

Google Analytics is activated only after you enable analytics through our cookie settings. You can change your analytics preference through those settings.

6. FORMS, PROGRAMS, AND COMMUNICATIONS

A. WEBSITE FORMS AND REQUESTS

If you submit a Website form, we use the information you provide to process and respond to the applicable inquiry, registration, application, or request; provide follow-up; deliver related services; and maintain appropriate internal records.

Unless a form specifically requests it for a stated purpose, please do not submit sensitive personal information through Website forms.

B. NEWSLETTERS AND SMS

If you subscribe to our newsletter or other marketing communications, we use your information to send the updates, news, promotions, or other communications you requested.

If you provide a phone number for SMS purposes, we may use it to send SMS messages you requested or consented to receive. You can withdraw your consent using the instructions in the applicable message or by contacting us directly.

You can unsubscribe from marketing emails at any time by clicking the unsubscribe link in an email or contacting us directly.

C. YOUTH PROGRAM REGISTRATIONS

We use youth program registration information to administer the program, confirm participant eligibility and session availability, communicate with parents or guardians, support participant safety and accommodation needs, send registration confirmations, and maintain appropriate program records.

Medical, accommodation, and emergency-contact information is used only for program administration, participant support and safety, and related purposes described at the time of collection.

7. HOW WE SHARE INFORMATION

We do not sell your personal information.

We may disclose personal information to employees, contractors, and service providers that need it to perform services for us, including:

  • Cloudflare, which provides Website hosting, server functions, D1 database storage, and Turnstile form security
  • Mailgun, which delivers Website form notifications to the appropriate Calgary Wild FC recipients
  • Mailchimp Marketing, which manages newsletter and other opted-in marketing subscribers
  • Mailchimp Transactional, also known as Mandrill, which delivers certain program and form confirmation messages
  • Google, which provides Google Analytics and Google Tag Manager
  • The Northern Super League, which manages the Google Analytics property used by the Website
  • professional advisers, authorities, or other parties where reasonably necessary to comply with law or protect legal rights

These providers may process personal information on our behalf for the purposes described in this Policy and are expected to protect it appropriately.

Cloudflare Turnstile runs a security challenge on Website forms. When a form is submitted, the Turnstile token and the visitor's IP address may be sent to Cloudflare for verification.

8. INTERNATIONAL PROCESSING

Some of our service providers operate in Canada, the United States, and other countries. As a result, personal information may be processed or stored outside your province or country, where it may be subject to the laws and lawful access requirements of those jurisdictions.

Foreign service providers are authorized to process personal information for purposes such as Website hosting and database storage, security and form verification, analytics, email delivery, and newsletter management.

Where required by applicable law, we use reasonable contractual, technical, and organizational measures to protect information handled by service providers. 9. DATA RETENTION

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including to provide requested services, administer programs, maintain appropriate business and consent records, resolve disputes, and meet legal obligations.

Retention periods may vary based on the nature and sensitivity of the information, the service or program involved, and applicable legal, accounting, safety, and recordkeeping requirements.

When personal information is no longer required, we delete, securely destroy, or anonymize it, subject to applicable legal and operational requirements.

10. YOUR PRIVACY RIGHTS

Subject to applicable law, you may request access to personal information we hold about you and information about how it has been used or disclosed. You may also request correction of personal information that is inaccurate or incomplete.

Where we rely on consent, you may withdraw that consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent does not affect processing that occurred before the withdrawal and may limit our ability to provide certain services or administer a registration.

We may need to verify your identity before completing a request. Access and correction rights may also be subject to exceptions permitted or required by law.

Depending on where you live and whether another privacy law applies, you may have additional rights, such as requesting deletion, restricting or objecting to certain processing, requesting data portability, or lodging a complaint with a data protection authority.

11. CHILDREN AND YOUTH PROGRAMS

Except for services and programs specifically intended for youth, the Website is not directed to children under 13, and we do not knowingly collect their personal information without appropriate authorization.

For designated youth programs, such as Soccer City FC, a parent or guardian may provide personal information about a participant. We use that information for the program administration, communication, support, and safety purposes described in this Policy and at the time of collection.

Where appropriate, we obtain consent from a parent or guardian for the collection, use, and disclosure of a youth participant's personal information. A parent or guardian may contact us to request access to or correction of the participant's personal information or to ask questions about how it is handled.

12. PHOTOGRAPHS, VIDEO, AND MEDIA CONSENT

For certain programs or activities, we may ask for consent to collect and use a participant's photograph, video, voice, or likeness for promotional, communications, or program-reporting purposes. The applicable consent request will identify Calgary Wild FC and any other participating organizations or partners authorized to use the media.

A participant or their parent or guardian may withdraw consent for future uses by contacting us. Withdrawal does not affect uses that occurred before consent was withdrawn.

We will take reasonable steps to stop new uses and, where reasonably practicable, remove the material from digital channels under our control. We may not be able to recall printed materials, completed broadcasts or productions, material already distributed to the public, or copies controlled by independent third parties.

13. SECURITY AND ACCESS

We use reasonable administrative, technical, and organizational measures to protect personal information. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

Access to personal information is limited to employees, contractors, service providers, and program personnel who reasonably require it for the purposes described in this Policy. We apply additional care to sensitive information, including youth medical, accommodation, and emergency-contact information.

14. THIRD-PARTY WEBSITES AND SERVICES

The Website may contain links to independent third-party websites and services, including ticketing, merchandise, social media, streaming, podcast, and partner platforms. Those third parties collect and handle information under their own terms and privacy policies. We encourage you to review their policies before providing personal information.

15. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time to reflect changes in our practices, services, technologies, or legal obligations. Any changes will be posted on this page with an updated "Last updated" date. Where appropriate, we may provide additional notice of material changes.
